6319 Vacation Stay Agreement

1. Parties, property and reservation

This agreement is between Richard White (Host), operating Poinciana Palms, and the lead guest named in the reservation (Lead Guest), for the confirmed Direct reservation at 6319 Poinciana Drive, Panama City, Florida 32408. Arrival and departure are as recorded in the confirmed reservation. The reservation confirmation supplies the registered guest count, accepted charges, payment schedule, cancellation terms and booking contact details. Those disclosed reservation terms form part of this agreement. Contact the hosting team at bookings@poinciana-palms.com or through the contact details in your confirmation.

2. Stay term and occupancy

Occupancy is limited to the dates and guests in the confirmed reservation, subject to the home's legally approved occupancy. Only registered guests may stay overnight. No subletting, assignment, parties or commercial events are permitted without the Host's written approval where lawful. An extension requires availability, a new quote and written confirmation before the original departure date. There is no automatic renewal. Different legal requirements can apply to an extended residential stay; this agreement does not waive statutory rights or declare every stay to be transient.

3. Rent, fees, taxes and cancellation

The accommodation price, cleaning fee, any approved pet fees, taxes and payment dates are those disclosed and accepted in the reservation. No additional late fee, automatic fine or cancellation penalty is created by this agreement. Cancellations, changes, refunds and payment issues follow the accepted booking terms and applicable law. A request for an optional extra is separate from the accommodation reservation and does not change its cancellation policy.

4. Refundable security deposit

Where disclosed in the Direct checkout, the refundable security deposit is $250 for 6319 and is processed separately by Hospitable. Its collection, release and any damage-claim process follow the terms disclosed during booking and applicable law. It is separate from the stay total and is not an additional rental charge. Ordinary wear and pre-existing damage are excluded from damage claims. This agreement does not authorize an undisclosed charge or automatic forfeiture of the deposit.

5. Utilities, lawn and care of the home

The furnished-stay utilities and amenities advertised for the reservation are provided under the booking terms. Guests are not required by this agreement to open utility accounts or take over lawn maintenance. Use water, electricity, appliances and amenities reasonably; keep the home reasonably clean and sanitary; secure doors and windows when leaving; and report damage, leaks, loss of access or maintenance needs promptly. Do not disable alarms, locks or safety equipment or move indoor furnishings outside. The Host or manager remains responsible for maintaining the property in accordance with applicable law.

6. Parking and neighbors

Use the approved parking spaces for your side of the duplex. Do not park on grass or block the neighboring unit, driveways, sidewalks, streets or emergency access. Observe the posted parking and occupancy limits, quiet hours, trash instructions and applicable local rules. Keep noise at a level that respects the neighbors. Return access devices as instructed and do not share entry codes publicly or with unregistered guests.

7. Pets, assistance animals and smoking

Up to two approved pets may be included when permitted by the booking. The disclosed pet fee is $75 per approved pet per stay for this Direct reservation. Keep pets supervised, clean up waste and protect the furnishings. Assistance animals are handled in accordance with applicable law; a qualifying service animal is not treated as a pet and is not charged a pet fee. Smoking and vaping are prohibited indoors. Any damage or cleaning claim must be supported and handled through the disclosed booking process and applicable law.

8. Arrival, departure and requested extras

Follow the check-in and checkout times in your confirmation. Early arrival, late departure and other extras require separate confirmation; a request alone does not authorize them. Electric bicycle rentals, beach equipment, welcome baskets and similar requested services depend on availability and an itemized quote. No payment is taken through the stay-extras request form. Before an extra is confirmed, the hosting team will provide the proposed items, price, applicable taxes or delivery charges, timing and cancellation terms for your acceptance. Any equipment supplier's rental terms, rider requirements, safety instructions or separate agreement must also be accepted where applicable. An extra does not grant additional accommodation nights.

9. Maintenance, access and emergencies

Report routine issues through your reservation contact or the guest portal. The Host or authorized personnel may enter for necessary maintenance, legally required inspections or emergencies in accordance with applicable law, with notice and coordination where required. Nothing grants an unrestricted right of entry or permits harassment, unlawful lockout or utility shutoff. In an emergency, call 911 and contact the hosting team when safe. Follow posted emergency instructions and official weather, beach-safety and evacuation directions.

10. Responsibility and lawful process

Guests are responsible, to the extent allowed by law, for damage caused by their party beyond ordinary wear. Report pre-existing damage promptly. Any claim must be documented and handled through the disclosed reservation/payment process, with an opportunity to respond. No automatic punitive fee or blanket waiver of the Host's responsibility is created here. Any termination, removal, holdover remedy or handling of belongings must follow applicable law and any required notice and lawful process.

11. Governing terms and acceptance

Florida law governs, subject to applicable consumer protections and non-waivable rights. The accepted reservation terms, this agreement and any separately accepted written addendum state the parties' understanding for this stay. If there is a conflict concerning price, payment, cancellation or a charge, the terms disclosed and accepted in the booking govern to the extent permitted by law. Material changes require appropriate disclosure and agreement. If a provision is unenforceable, the remaining lawful provisions continue. By signing, the Lead Guest acknowledges the reservation details and agrees to communicate the applicable house rules to their party. A completed copy is retained through the guest portal.

Your reservation-specific copy

Your guest portal records the lead guest’s acceptance and signature. Existing reservations and bookings through other platforms retain their accepted booking terms; this public page does not impose new charges or replace a separately signed residential lease.
